OBJECTIVE 
The objective of hiring an IT and Administrative Assistant is to enhance the Family Health India’s operational effectiveness by providing dependable technical support and efficient administrative coordination. The role will ensure the proper functioning and maintenance of computer systems, software, digital records, data security, and communication tools, while also supporting documentation, correspondence, scheduling, filing, inventory management, procurement, and office logistics. By combining these responsibilities, the position will promote accurate record-keeping, timely information flow, optimal use of resources, and uninterrupted day-to-day operations, enabling programme and management teams to focus on achieving the NGO’s mission and delivering quality services to its beneficiaries.
 
JOB RESPONSIBILITIES
 
The IT and Administrative Assistant will be responsible for providing robust technical support and efficient administrative coordination for office operations. Key responsibilities include:
  • Manage and maintain IT infrastructure, including computer hardware, software installations, printers, network routers, and peripheral devices.
  • Provide technical troubleshooting and helpdesk support to office staff for day-to-day hardware,  
  • software, and connectivity issues.
  • Maintain inventory of IT assets, software licenses, and office equipment, ensuring timely upgrades and preventive maintenance.
  • Assist in managing the organization's email servers, Local Area Network (LAN), Wi-Fi security, and routine data backups.
  • Periodic updates/ monthly to all staff/ consultants on IT related and administrative update.  
  • Assist in organizing meetings, workshops, conferences, and travel logistics (ticketing, hotel bookings, and transport coordination).
  • Maintain office records, filing systems (both physical and digital), and assist in drafting routine administrative correspondence, memos, and minutes of meetings.
  • Coordinate with vendors and service providers for office supplies, utility maintenance, facility management, and asset repairs.
  • Perform any other administrative/ technical tasks assigned by the supervisor/ management from time to time.
DESIRED QUALIFICATIONS AND EXPERIENCE
  • Bachelor's degree in Information Technology, Computer Science, Business Administration, or a related field.
  • Minimum 2 to 4 years of proven professional experience in IT support, network maintenance, and general office administration, preferably within the non-profit, development, or corporate sector.
  • Strong technical proficiency in troubleshooting Windows/Mac OS, MS Office 365, hardware configuration, and networking basics.
  • Demonstrated organizational and multitasking skills with high attention to detail.
  • Excellent interpersonal and communication skills (written and verbal) in English and regional languages.
  • Ability to work independently as well as part of a multidisciplinary team in a fast-paced environment.
COMPENSATION
Compensation levels at Family Health India are equivalent to market rates within the development sector. However, offers shall be based on salary history, relevant experience, qualifications, and available budget.
