JOB DESCRIPTION:

Location: Tarnaka, Hyderabad

Reports to Office Superintendent / Program Coordinator

The organization provides a safe, supportive, and dignified environment while facilitating access to social, legal, health, and livelihood services.
Position Summary: The Office Assistant – Multipurpose Tasking is responsible for providing administrative, clerical, logistical, and operational support to ensure the smooth functioning of the shelter home and NGO office. The role requires flexibility, confidentiality, compassion, and the ability to handle multiple tasks in a dynamic environment.

Key Responsibilities:
1.Administrative Support
2.Maintain office files, records, registers, and documentation in physical and digital formats.
3.Assist in preparing letters, reports, meeting minutes, and correspondence.
4. Manage incoming and outgoing mail, courier services, and telephone communications.
5.Maintain inventory records and office supplies.
6. Support data entry and updating beneficiary records, attendance registers, and activity reports.
Shelter Home Support:
1.Assist in maintaining resident records, admissions, exits, and case documentation as directed.
2.Coordinate appointments for residents with hospitals, government offices, legal aid providers, and other service agencies.
3.Ensure confidentiality of resident information and organizational records.
4.Support organization of training sessions, awareness programs, and recreational activities.

1.Assist in procurement of office supplies, groceries, medicines, and household items following organizational procedures.
2.Maintain stock registers and verify receipt of supplies.
3.Coordinate transportation arrangements for staff and residents when required.

1.Receive visitors, donors, officials, and service providers courteously.
2.Maintain visitor logs and facilitate appointments.
3.Respond to routine inquiries and direct visitors appropriately.

Financial and Documentation Support:
1.Assist in maintaining petty cash records, bills, vouchers, and supporting documents.
2.Monitor cleanliness and upkeep of office and common areas.
3.Coordinate with maintenance personnel, vendors, and service providers.
4.Assist during inspections, monitoring visits, events, and emergencies.
5.Perform other duties assigned by management to support effective shelter operations.

Qualifications:
1. Graduate with driving license ( two wheeler) .
2.Basic computer proficiency in MS Office (Word, Excel, Outlook) and internet applications.
3.Ability to maintain records and documentation accurately.
4.Prior experience in an NGO, social sector, office administration, or shelter home setting is desirable.

4.Ability to maintain confidentiality and professional ethics.

6.Ability to work collaboratively with staff, residents, government officials, and service providers.

Working Conditions
1.Full-time position based at the sheltered home/NGO office.
2.May require occasional travel for official work.
3. Availability during emergencies and special events when required.
Remuneration: As per organizational norms and candidate qualifications/experience.
