Role Summary:
We are seeking a highly professional and proactive Executive Secretary to provide comprehensive administrative, secretarial, and coordination support to senior leadership and the Board. The ideal candidate will possess excellent written and verbal communication skills, strong organizational abilities, and proven experience managing executive schedules, correspondence, and meeting processes, preferably within the nonprofit or NGO sector.
Key Responsibilities
• Provide comprehensive secretarial and administrative support to senior management, including calendar management, meeting coordination, travel arrangements, and expense administration.
• Draft, edit, and proofread a wide range of formal communications, including emails, letters, reports, proposals, meeting minutes, and presentations.
• Coordinate Board and management meetings by preparing agendas in consultation with leadership, circulating meeting materials, recording and distributing minutes, and monitoring follow-up actions to completion.
• Manage communications with key stakeholders, including donors, corporate CSR partners, government agencies, research collaborators, and partner organizations.
• Maintain organized filing systems, confidential records, and office documentation while ensuring compliance with organizational policies and procedures.
• Support proposal development and grant administration by compiling documentation, formatting proposals, coordinating inputs, and tracking submission timelines.
• Assist in organizing events, workshops, conferences, and field visits, including logistics management, participant communication, and post-event reporting.
• Provide support for routine HR and office administration functions, including attendance tracking, onboarding coordination, vendor liaison, and administrative record-keeping.
• Coordinate with medical students involved in research projects, internships, workshops, and academic activities; maintain regular communication and provide updates on SHARE INDIA’s programs and initiatives.
• Support alumni engagement and networking activities by maintaining alumni databases, coordinating alumni meetings and events, facilitating communication, and strengthening alumni relations.
Qualifications and Skills:
• Bachelor’s degree required; preference will be given to candidates with a postgraduate diploma or degree in Management, Business Administration, or a related field.
• 3–6 years of experience in executive support, office administration, or secretarial roles, preferably within nonprofit organizations, healthcare institutions, or development-sector organizations.
• Excellent written and verbal communication skills in English, with demonstrated ability to prepare professional reports, proposals, presentations, and official correspondence.
• Strong organizational and time-management skills, with exceptional attention to detail and the ability to manage multiple priorities and deadlines effectively.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with virtual collaboration tools.
• Working knowledge of AI-powered productivity tools (e.g., ChatGPT, grammar and writing assistants) for drafting, editing, research, and workflow optimization.
• High level of discretion, professionalism, and ability to handle confidential information with sensitivity.
• Strong interpersonal and relationship-management skills, with the ability to interact confidently with senior leadership, Board members, corporate partners, donors, academic institutions, and government representatives.
• Proactive, resourceful, and solution-oriented, with the ability to work independently as well as collaboratively within a team environment.
• Based in Hyderabad and available to work from the office on a full-time basis.
