Partnering Hope Into Action Foundation (PHIA) is a Charitable Trust registered in Delhi in 2005. It works across multiple geographies on addressing issues which act as barriers for communities to thrive. PHIA’s focus has been on the disadvantaged and vulnerable communities who are left behind in the development interventions.
 
PHIA works in partnership with multiple stakeholders including government, private sector, philanthropy institutions, civil society organisations, academic institutions and community-based organisations with this focus. Its interventions and programs are spread in the states of Bihar, Jharkhand, Madhya Pradesh, Uttar Pradesh, Delhi NCR, Ladakh and Punjab. PHIA’s community centric work is on a range of issues including education, WASH, strengthening local governance, climate change adaptation, sustainable livelihoods through strengthening value chains benefiting communities, and food and nutrition security for communities.

ABOUT THE ROLE
PHIA Foundation is looking forward to recruiting a seasoned finance professional for this post who can take up the leadership role for the finance function and the team. The incumbent is also expected to contribute to the Procurement and Admin. functions of the organization. The position will report to the Head of Finance – PHIA Foundation and will be based in Bengaluru office, as per the need.
 
KEY RESPONSIBILITIES 
 
Primary Duties and Deliverables would include: 
  • Directly responsible for managing the overall finance, accounting, procurement, and other systems of the projects assigned.
  • Support in PHIA’s other financial operations as and when required.
  • Finalization of project budgets and ensuring timely submission of the donor reports for the project.
  • Support in preparation and submission of budgets for new proposals within timeframe.
  • Will be responsible for preparation and submitting financial progress/variance report (Budget Vs Actual) to Senior Leadership Team on a monthly basis for the assigned projects.
  • Ensure compliance with terms and conditions of Grant Agreements and regular monitoring of the projects.    Oversee flow of funds in projects and ensure timely payments to staff and vendors.
  • Ensuring all accounting entries for all assigned projects are completed and accurate.
  • Responsible for monitoring all the procurement process in the projects of the intervention States. Ensuring timely sharing of related documents with the Delhi Office.
  • Responsible for coordinating statutory/Internal/donor audits for the projects and assist Delhi Office in completing the audits in a timely manner.
  • Ensure that monthly salary data is prepared in consultation with the HR department and share with the Delhi Office in a timely manner.
  • Ensure that all staff in state offices are registered under benefits to which they are entitled like Insurance, PF, ESI etc. Liaise to complete the registration.
  • Ensure that PHIA complies with the local registrations and statutory responsibilities with respect to the States in which projects are implemented.
  • Responsible for building systems for proper upkeep of documents and their timely submission to Delhi Office.
  • Prepare management reports as per the requirement of the Senior Leadership Team.
  • Ensure Internal Control Systems are implemented regularly and identify areas of improvement.
  • Capacity building of the team on financial policies and procedures.
  • Perform other functions as and when assigned by the line manager. 
ESSENTIAL QUALIFICATIONS AND REQUIREMENTS
  • Applicant must have a Post Graduate degree or a higher degree in Finance
  • Minimum 10 years of proven work experience as a Finance Manager/ Finance and Admin Manager or any equivalent position.
  • Strong attention to details and accuracy.
  • Flexibility and adaptability.
  • Display a clear commitment to community work, carry interpersonal skills to communicate with the community and staff.
  • Have good writing skills to draft and understand third party contracts, letters and other communications.
  • The position requires extensive travel to field areas. The candidate should not have any reservations in travelling.
  • Computing Skills (Should be well versed with Tally ERP, MS Office, especially word, excel, PPT and electronic communication).
