MANT is a non-profit organisation that has worked in public health and community development in West Bengal since 1960. We run health, nutrition, education, and livelihood programmes in rural and tribal areas, and our work reaches around 1.5 million people a year. We are registered on the Social Stock Exchange and hold ISO 9001:2015 certification.
We are now recruiting for two roles: a Project Manager for our CSR-supported health project, and an Admin and Operations Associate at our head office. If you care about better health and a fair deal for underserved communities, we would like to hear from you.
Position : Admin and Operations Associate (1 position)
Location: Head office, Kolkata, with occasional travel to project sites
Reports to: Director, Administration
Remuneration: Commensurate with qualifications and experience
Role summary
We are looking for a proactive, people-oriented Admin and Operations Associate to support the day-to-day running of the organisation. You will work closely with the programme and finance teams to keep things moving smoothly across the head office and the project sites. The role is built around coordination across departments, working with vendors, and clear communication with a range of people.
Key responsibilities
1. Appointments and renewals
- Help schedule meetings with donors, partners, and internal teams.
- Track due dates for MOUs, vendor contracts, FCRA compliance, and AMC renewals.
- Work with the programme and finance teams to keep paperwork and approvals on time.
2. Leave and attendance
- Help field and office staff with leave applications on the office systems.
- Update daily attendance, pull monthly data together for payroll, and flag any gaps.
- Check the attendance of site-based staff with the project coordinators.
3. Policy and SOP updates
- Keep the latest versions of the HR, Admin, and Child Protection policies on the shared drives.
- Help circulate new SOPs and collect acknowledgements from all staff.
- Gather feedback from project teams on day-to-day problems and pass it to the Director, Administration.
4. Travel booking
- Arrange travel for staff, volunteers, and visitors, including tickets, accommodation, and local transport.
- Keep bookings in line with donor and project budgets and the travel policy.
- Coordinate with finance for advances and with programme teams for field visit logistics.
5. Vendor empanelment
- Collect KYC and compliance papers from new vendors and service providers.
- Keep an updated vendor database with the documents NGOs need, such as 12A, 80G, and PAN.
- Check back with programme teams on vendor quality and service at the project sites.
6. Purchase support
- Raise purchase requests for office and project needs once the budget is approved.
- Work with vendors on quotations and delivery to the head office or field sites.
- Track materials sent to project sites and confirm receipt with field teams.
7. Bills and settlements
- Check bills, vouchers, and expense claims against donor and statutory rules.
- Pass verified documents to finance once the needed approvals are in place.
- Follow up on payments and help sort out queries from vendors or staff.
8. Compliance and certification (Social Stock Exchange and ISO)
- Help maintain MANT's Social Stock Exchange registration, including records, periodic disclosures, and annual impact reporting.
- Keep the ISO 9001:2015 quality documentation up to date and support internal and surveillance audits.
- Track corrective actions and renewal dates so both the Social Stock Exchange listing and the ISO certificate stay current.

Requirements
- A postgraduate in any discipline.
- At least 2 years of experience in admin, operations, or programme support. NGO experience preferred.
- Working knowledge of spreadsheets, documents, email, and common office tools.
- Familiarity with databases and basic social media platforms.
- Good spoken and written communication in English and Bengali.
- Willingness to travel to project sites now and then.

- The ability to juggle several tasks and set priorities in a busy setting.
Work details
Work schedule: Monday to Friday, 10:00 AM to 6:00 PM, from the office
Saturday: Work from home
Travel: Occasional visits to project sites as required
