Jan Sahas, established in the year 2000, is a not for profit grassroots organization committed to promote the development and protect the rights of socially excluded communities with a special focus on girls and women through the eradication of all forms of bondage including manual scavenging and caste-based prostitution;empowerment of adolescent girls and women to end violence and gender justice, skill development for dignified livelihoods and social entrepreneurship; legal aid for access to justice and reform in the criminal justice system; support in education; food and nutrition, security; land and agriculture development; develop barefoot lawyers to build victim or survivors as leader and empowerment of communities through capacity and organization building.
Core Responsibilities
1. Financial Operations & Payment Processing
- Process vendor payments, reimbursements, travel claims, petty cash, and advances within defined timelines.
- Verify bills, invoices, supporting documents, approvals, and budget heads before processing payments.
- Ensure compliance with finance policies, procurement procedures, and donor guidelines.
2. Financial Documentation & Record Management
- Maintain proper filing and documentation of payment vouchers, invoices, agreements, procurement documents, and supporting records.
- Ensure all finance records are audit-ready and properly organised.
- Support maintenance of asset records and inventory documentation.
3. Budget Monitoring & Expense Tracking
- Support tracking of project expenses against approved budgets.
- Assist in the preparation of utilisation reports, MIS, and financial summaries.
- Coordinate with program teams for budget utilisation and expense clarification.
4. Compliance & Audit Support
- Support statutory and donor compliance processes, including TDS, PF, FCRA, and audit documentation.
- Assist during internal and external audits by providing required records and reconciliations.
- Ensure adherence to organisational financial controls and policies.
5. Coordination with Program & Field Teams
- Provide finance process guidance to field teams and support the timely submission of bills and claims.
- Conduct orientation/training sessions on finance policies, reimbursement processes, and documentation standards.
- Resolve finance-related queries from employees, vendors, and program staff.
Supporting Responsibilities
1. Administrative & Logistics Support
- Support finance-related logistics for training, workshops, meetings, and events.
- Coordinate with vendors for quotations, procurement, and payment follow-ups.
2. HR & Employee Support
- Coordinate with HR on employee advances, settlements, no-dues clearances, and onboarding documentation.
- Support resolution of employee finance-related queries.
3. Asset & Procurement Support
- Assist in procurement processes, including quotation collection, comparative statements, and documentation.
- Support physical verification of assets and maintenance of asset registers.
4. Systems & Process Improvement
- Support digitisation, automation, and improvement of finance processes and reporting systems.
- Assist in maintaining financial trackers, MIS tools, and reporting formats.
Required Qualifications & Skills
- Bachelor’s or Master degree in Commerce, Finance, Accounting, or related field.
- 2–5 years of relevant experience in finance/accounts operations
- Working knowledge of accounting principles, finance processes, and compliance requirements.
- Proficiency in MS Excel and accounting software (Tally/ERP systems preferred).
- Good documentation, coordination, and communication skills.
- Ability to manage multiple tasks and work within timelines.
- Experience in NGO/development sector finance operations.
- Understanding of donor-funded projects and FCRA compliance.
Preferred Qualifications & Skills
- Experience in handling reimbursements, vendor management, and audit documentation.
- Preferred person who has done MBA.
